This article will go over the New Patient Workflow that will be introduced in Dentrix 24.7. This is an exciting new change to the way we add new patient information in Dentrix.

Creating a New Patient Appointment
The initial step remains unchanged; you start by creating a new patient appointment.
Enhanced Select Patient Window
We've upgraded the Select Patient window with additional functionalities:
- Previously, the window only offered one option, New Patient.
- Now, it features two new options: New Family File" and Add Family Member. These options are designed to streamline the addition of new patients and their family members into Dentrix.
When you select New Family File to add a new patient, a dialog box appears, allowing you to input comprehensive information about the patient.
Noteworthy updates include:
- The ability to enter a preferred name and select statuses, among other options.
- Patient Status defaults to Non-Patient.
- First Visit Date remains empty initially. This is intentional; the patient's status will automatically update to Patient, and the First Visit Date will populate after their first procedure codes are completed.
Comprehensive Patient Management
Creating a patient record enables full management capabilities, similar to those for established patients. This includes:
- Entering insurance information
- Sending appointment reminders
- Receiving online forms
- Updating Health History
- Making notes in the Office Journal
- Scanning or saving documents, etc.
Optional or Required Birthday
The patient's birthday setting can be marked as optional or required. This setting is adjustable in the General Options tab under Office Manager > Maintenance > Practice Setup > Practice Resource Setup > Preferences.
Completing New Patient Appointments
Upon the new patient's arrival:
- Simply set their appointment as complete. There's no need for immediate conversion of their appointment into a patient record.
Managing No Shows
In case of a no show:
- Instead of deleting the appointment (which would erase all records of the new patient), you will now break the appointment. This retains the patient as a Non-Patient in the system, allowing for future reference and follow-up.
Following Up
To make your follow-up even better, open the Appointment List and next to Select List, select the Unscheduled New Patient list. This list shows all the broken appointments for new patients. Use this list to professionally follow up with these potential patients.
Managing New Patient Broken Appointments
A new option was added to the Appointment List window to help you manage broken appointments.
To manage new patient broken appointments
- In the Appointment Book, click Appt List.The Appointment List window appears.
- In Select List, select Unscheduled New Patient.
- To delete or archive one or more broken appointments, select them, and then click Delete Patient(s)
or Archive Patient(s). - To set up a recurring task to archive broken appointments automatically, click Set up auto
management.
The Reports and Tasks Scheduler window appears. - In the Available Tasks text box, search for and select Archive New Patient Records, and then click
Add.
New Change to When New Patient Appointment is Set Complete
- Prior to 24.7 when you set a New Patient Appointment complete, it no longer had the NP identifier.
- Now when you set a New Patient Appointment complete it will still retain the NP identifier.
